Zoom Recording Permissions: Successful and Failed Scenarios

Learn how Zoom recording works with host permissions, alternative hosts, and Zoom integration settings.

✅ Zoom Recordings: When Recording Is Successful

  1. The host joins the meeting and grants recording permission via the pop-up.

    • When the host enters the meeting, a pop-up appears asking for permission to start recording. The host must approve this for the recording to begin.

  2. If the host cannot join the meeting:

    • If an alternative host is assigned, the same permission pop-up will appear for the alternative host. If they approve it, the recording will start successfully.

  3. If neither the host nor an alternative host joins the meeting:

    • If the Zoom connection is established via the Settings > Integrations page, the recording will start successfully.

❌ Zoom Recordings: When Recording Fails

  1. If the host does not join and no alternative host is assigned:

    • The bot joins the meeting but cannot receive recording permission.

    • As a result, the following error occurs at the end of the meeting:
“Scribe left the meeting because it couldn't start recording and timed out.”

  2. If an alternative host is assigned but does not grant permission:

    • The bot joins the meeting, but since permission is not granted, the recording fails.

    • The following error is shown:
“Scribe couldn't record because the meeting host denied the recording request.”

🔄 Connecting Zoom from the Integration Page

Connecting Zoom from the Integration page allows the bot to auto-approve the recording request without showing the permission pop-up. Therefore, it eliminates the need for the host or alternative host to join the meeting.
